We are currently looking for a Medical secretary (m/f) for our National Center of Genetics. We offer a full-time (40h/week) and permanent position.

ABOUT THE LABORATOIRE NATIONAL DE SANTÉ

The LNS is a major player in Luxembourg’s healthcare sector, serving the country’s patients, doctors and hospitals. Under the supervision of the Ministry of Health and Social Security, the LNS is a multidisciplinary public institution organized around six medical departments, two of which are designated as national diagnostic centers for human genetics and pathology respectively.

The LNS employs around 400 highly qualified staff with diverse backgrounds. The main purpose of the LNS is to develop analytical activities and scientific expertise relating to the prevention, diagnosis and monitoring of human diseases; to act as a national control or reference laboratory; and to carry out forensic missions. The LNS also collaborates with the University of Luxembourg and other biomedical research institutions, both nationally and internationally, on research and teaching activities.

In particular, in the field of diagnostics, the LNS covers the following fields of application: medical biology, microbiology, forensic medicine, environmental medicine, morphological and molecular pathology, and clinical genetics, as well as sequencing for rare diseases, oncology and pathogens.

RESPONSABILITIES

The Molecular Genetics Unit at the National Center of Genetics is recruiting a medical secretary to assist with outsourcing of patient samples to partner laboratories and with the unit’s general administrative tasks. Reporting to the Head of Unit, your main tasks will be:

  • Taking and dispatching of phone calls;
  • Assisting in the shipping of samples to partner laboratories;
  • Liaising with partner laboratories to collect patient result reports;
  • Registration of patient records and evaluation of acceptance of administrative criteria;
  • Encoding and tracking of orders;
  • Entry of information into a laboratory information management system (LIMS);
  • Send reports;
  • Assist in the reporting of non-conformities and the handling of complaints;
  • Collaboration with the administrative services of the LNS (accounting, invoicing, purchasing, etc.);
  • Standard secretarial work (photocopying, post, etc.);
  • Management of the administrative stock (e.g. envelopes, stationery);
  • Drafting of meeting minutes.

The above list is not exhaustive and further tasks could be added according to the needs of the service.

PROFILE

  • Secondary school diploma (BAC) or equivalent recognized qualification;
  • At least 2 year’s proven experience in an administrative role;
  • Experience of working in a medical laboratory is an important asset;
  • Proficiency in Microsoft Office software is essential;
  • Self-motivated, flexible, good communication skills and team player;
  • Structured working method, self-analysis, thoroughness and attention to detail;
  • Strong organizational skills, ability to work independently;
  • Fluency in English and proficiency in either French or German is mandatory. Knowledge of Luxembourgish would be an asset.
